EL1 Executive Officer, Chief Executive Officer

The Commission is seeking a full-time or part-time (four days per week), Non-ongoing EL1 Executive Officer, Chief Executive Officer for a period of 12 months with the opportunity of extension or becoming ongoing.

Reporting to the CEO, the Executive Officer is responsible for providing high-level executive and operational support to the CEO and Commission Executive. The Executive Officer oversees the Office of the CEO and ensures the accurate and timely flow of work to the CEO and across the organisation, leads discrete projects and communicates and works collaboratively with all staff.

The Executive Officer must balance competing priorities, exercise sound judgement, identify contentious issues and provide accurate advice and solutions in tight timeframes. The Executive Officer will have a high level of initiative and motivation and will manage the affairs of the CEO to a high professional standard, maintaining confidentiality and exercising discretion.

The successful candidate will be an excellent communicator with strong organisational and coordination skills and demonstrated ability to build productive working relationships.

Duties of the EL1 Executive Officer, Chief Executive Officer will include, but are not limited to, the following:

  1. Effectively manage all aspects of the Office of the CEO, supervise staff and engage collaboratively across the Commission. 
  2. Actively anticipate the CEO’s needs and requirements including preparation of correspondence, meeting agendas and briefings, talking points and presentations, taking of meeting minutes and collating actions for follow up. 
  3. Support the Office of the CEO with responses to complex or sensitive matters, the provision of high-level communication and outreach events, ministerial briefs and ensure accuracy and timeliness of advice.
  4. Research and collate advice to prepare high-level briefs and reports to support the CEO's strategic and day-to-day responsibilities and activities.
  5. Distil and synthesise key issues and consolidate recommendations and responses on a range of policy, program and operational matters to support CEO decision making.
  6. Manage the quality assurance process for all correspondence, documentation and materials to and from the CEO.
  7. Undertake significant liaison, consultation and negotiation with staff as well as with key external stakeholders, including the Board and sub-committees, Australian Government Department of Health executives, state and territory executives and health ministers. 
  8. Manage internal communications on behalf of the Office of the CEO.
  9. Represent the Office of the CEO, and take a leadership role in organisational culture activities.
  10. Model, monitor and maintain the highest standards of probity, accountability and consistency in the organisation’s work with stakeholders. 
  11. Lead continuous improvement initiatives and projects as required.

The successful candidate will have:

  • Demonstrated experience and competence in a senior executive support, governance or strategic advisory role.
  • Demonstrated high-level organisational skills with ability to prioritise effectively to consistently deliver results while managing a small team, high volume workload and within tight deadlines.
  • Demonstrated excellent writing and editing skills, including the ability to write high quality documents for a variety of audiences and in different formats.
  • Exceptional interpersonal and communication skills, in particular an ability to consult, negotiate and work collaboratively with senior managers, executives and a wide variety of stakeholders.
  • Demonstrated problem solving, analytical and decision-making skills, with an ability to exercise initiative and judgment to promptly address unforeseen demands or operational changes.
  • Commitment to personal integrity and accountability and demonstrated ability to exercise discretion and maintain confidentiality.

Please note: This position will be offered in a hybrid model of office based (Sydney) and working from home, where operationally feasible. A regular weekly presence in the office is required.
